The Challenge

An equity firm needed a way to distribute periodic reports electronically to their investors. Each investor was to receive both quarterly and annual reports, plus other regular and unplanned communications. Some reports were to be distributed to all investors, other reports contained private financial transaction information specific to an investor. Access was needed for both current and archived reports.

Reports are considered highly confidential, and access needed to be controlled closely. Reports were previously distributed via email and/or overnight delivery.

The Solution

Simplexity provided the Secure Statement Publisher. We architected and built a controlled-access web site to store and distribute the confidential documents. Each investor has a unique, private, secure area within the site, from which they can retrieve any of their reports.

A simple, intuitive interface allows site administrators with only basic computer skills to quickly and easily add new reports. Reports are quickly categorized and published. The administrator adds, deletes, and modifies on-line profiles of individual investors. Detailed site usage is tracked down to the level of individual reports. Simplexity helped the company in articulating an appropriate security policy for the site, and developed application code to enforce that policy. The site tools were developed to expand as the firm adds new investors and new investments. Subsequent to the initial launch, self service password changes and email links to individual documents have been added.

Lessons Learned

“Off-the-shelf” document management solutions were ruled out because neither the placement of the reports nor the look & feel were customizable. The Secure Statement Publisher offers clients convenient access to confidential information through a secure web site. Our solutions support or supplant non-secure distribution channels like email and overnight delivery.

With a good understanding of the audience’s needs, a self-service client support site will grow with your business. The site doesn’t need to be pricey or elaborate. Thanks to diligent research and analysis, Simplexity was able to create an elegant, targeted, reasonably priced solution to a potentially expensive problem.
